JOB DESCRIPTION

Job Duties

50% - Office management/office operations

  • Perform general office clerical duties such as maintaining kitchen and office supply, greeting visitors, distributing mail and packages, maintaining office tidiness and upkeep, and furniture moves
  • Implement programs and enforce processes to affect change for a positive working environment for growing office
  • Maintain kitchen supply for Seattle office as needed
  • Work with other departments including Finance, Marketing, and Seattle office to ensure forward movement of business
  • Sole point of contact for office field maintenance - contacting building management, fielding office maintenance issues, desk moves and requests
  • Accurately maintain records of office pets, including scheduling and enforcement of rules across all verticals, including removal of office pets
  • Maintain awareness of Fox and true[X] policies and procedures
  • Maintain internal office/employee records, including employee listing, parking, key issuances, org charts, FreshService documents, etc.
  • Onboard new true[X] employees in all offices by issuing true[X]-specific documents, swag, and other materials as appropriate
  • Delegating appropriate point people for special projects and requests related to office
  • Reconcile monthly meeting card for office-related purchases
  • After hours and weekend support for the above as needed

30% - Relationship manager

  • Sole relationship manager for several Fox contacts and outside vendors, including:
    • Fox real estate
    • Building management
    • Fox security
    • Facilities (HVAC, parking, cleaning crew, building requests)
    • Read to a Child
    • LA Green Business Program
    • Backup relationship manager for Manager, Employee Engagement
    • Other vendors as needed

20% - Employee engagement events manager

  • Planner and executor for in-office monthly employee appreciation events
  • Work with counterparts in other true[X]-cities for company-wide engagement efforts
  • Work within employee engagement budget for creative ways to engage employees with each other and their environment
  • Work with Fox Employee Engagement department to increase true[X]’s participation
  • Explore and increase CSR policies for true[X] and AAP-LA
  • Assist with true[SUMMIT] in LA

Perform other duties as needed and requested by Manager of Employee Engagement

Job Requirements

  • Bachelor’s degree
  • Excellent time management, including delegating time and tasks where needed
  • Ability to work well independently as well as on a team
  • Self-starter with quick decision-making skills
  • Comfortable talking with all levels and types of employees, from entry-level to the C-suite; comfortable talking with outside vendors of all levels and types
  • Proficiency in Microsoft Office, Google Docs, Asana
  • Creative problem-solver; ability to think outside the box
  • Organized with attention to detail and ability to multitask
  • Asks questions by nature; willingness and eagerness to improve processes and increase overall employee engagement
