Internal Events Specialist At Plaid

Location: San Francisco, California

Job Description

We’re a fun, fast growing company located in downtown San Francisco, and we’re looking for an Event Specialist to help make sure Plaid continues to be an awesome place to work.

This role is responsible for coordinating internal events under the direction of the Internal Events Lead. The role will work with internal clients to flawlessly execute events and ensure client expectations are met. The role will manage internal events from start to finish, which includes: sourcing venues, caterers, and production vendors; accurately forecast needs and manage event budgets for materials, catering, venues, and other event production needs; maintaining event registration lists and attendee communication; route invoices and record payments accurately into budget trackers; coordinating on-site vendors; ensure clients’ needs are met throughout the entire event lifecycle.

  • Planning small to medium sized internal events and offsites
  • Developing and executing integrated plan and logistics for each event, from initial planning to on-site event management and post event follow up
  • Negotiating contracts and managing suppliers including hotels, off-site venues, caterers and others
  • Maintaining accuracy and accountability of event budgets, managing final billing and reconciliation and evaluating results against goals
  • Delivering wrap-up reports and generating learnings for improvement
  • Demonstrating a strong ability to adapt to changing environments and prioritizing tasks
  • Effectively communicating to employees and management
  • Developing a playbook for executing events that can be used by onsite staff and internal teams
  • Being resourceful and finding a way to make things happen
  • Being flexible with quick approaches to event challenges

What excites us

  • At least 3 years of experience in Event Coordination / Management at a growing company
  • BA/BS degree
  • Highly organized and a natural project manager
  • Resourcefulness and the ability to think on your feet
  • Proven track record of being proactive and anticipating the needs of others
  • Emotional intelligence and strong communication skills
  • Ability to prioritize and meet deadlines in a fast paced environment
  • Ability to manage and supervise onsite
