Receptionist - Facilities Associate

The Role


This position is responsible for a variety of facilities related tasks and Reception. These tasks will include answering the Reception phone, transfer of phone calls, handling incoming and outgoing mail/courier items, stocking coffee stations, paper delivery to printers, meeting room coordination and ordering office supplies, inventory control (office supplies, kitchen supplies etc.), monitoring of security cards, and other business services related tasks.

Reception

  • Open Reception.
  • Answer all incoming calls in a timely fashion and direct all calls to the appropriate destination.
  • Greet all visitors and notify staff of the visitor’s arrival. Ensure that all visitors sign in and obtain a visitor’s badge.
  • Assist with scheduling of meeting rooms.
  • Back up for Facilities mailroom, open and close Facilities Centre as required.

Process Incoming and Outgoing Mail, Couriers, and Office Deliveries

  • Receive, open and distribute all mail ensuring prompt notification to staff of courier packages received.
  • Monitor outgoing packages and tracking missing packages as requested by staff.
  • Act as a point of contact for UPS and local couriers.

Act As Contact for Service Requests

  • Monitor Facilities email in-basket
  • Notify property management of property related issues
  • Report non-property issues to the Facilities Team Leader
  • Supervise building staff or outside workers while they are performing their duties within MCAP space.
  • Follow up with co-workers to confirm that the issue has been resolved to their satisfaction.

Inventory Control

  • Monitor and stock kitchen supplies, printer paper and stationary. Place orders as necessary. Distribute supplies on receipt.

Administrative Support

  • Issue, monitor and track security access cards
  • Order and coordinate luncheons and notify business unit leaders
  • Coordinate all Boardroom bookings and facilitate any meeting requirements
  • Cheque requisition preparation and tracking for Facilities and Marketing and Communications
  • Assemble marketing material for Marketing and Communications.
  • Assist other departments as required

Cleaning

  • Clear all print jobs and the end of the day and tidy stations when required.
  • Clean out all refrigerators weekly as scheduled.
  • Responsible for monitoring the cleanliness of all meeting rooms
  • Responsible for monitoring the cleanliness of coffee stations
  • Report any areas that require maintenance (carpet stains, leaking taps, etc.)
  • And other tasks as assigned

What You Bring To The Team


Experience

  • Past record keeping/stock inventory experience would be an asset
  • Reception experience would be an asset
  • Customer Service
  • Dealing with vendors and suppliers

Skills/Knowledge

  • Friendly, professional with good oral and written communication skills.
  • Strong customer service skills and sense of urgency
  • Excellent organizational and time-management skills
  • Good knowledge of Outlook, MS Word, MS Excel
  • Adaptable to changes in tasks and procedures
  • Ability to multi-task in a fast paced environment
  • Strong problem solving skills
  • Ability to foster relationships
  • Self-driven, motivated with the ability to work independently and in a team environment
