We are looking for a team-oriented, innovative, positive and hardworking individual to provide a full range of administrative support based in Chicago, IL. The selected candidate will also be responsible for providing administrative support to the Global Design Marketing team.
Administrative Assistants at Kimberly-Clark manage access to the executive, maintain and modify the executive's schedule, and ensure the executive is aware of issues that need immediate attention. They provide a broad range of highly skilled and highly confidential administrative support to ensure smooth operation of the office. The incumbent must maintain strong interpersonal relationships with employees at all levels of the organization.
Provides a high level of executive administrative skills, normally acquired through an accredited college and/or prior work experience. This individual also handles confidential business matters, works independently on special assignments and maintains smooth operation of the office responsibilities of the executive. Operates independently in absence of the Executives, calling on staff when required. Assists and advises the Executive of any problems arising during absence.
Update, organize, and coordinate meetings, often across multiple time zones and markets
Assist with events/general meeting logistics including finding a location, ordering food, meeting with location on details, attending the events/meeting to provide support, prepare materials, and other needs for a successful event/meeting
Assist with travel arrangements including booking of flights, hotels and car reservations, and other documents as required for staff to travel to global locations (Visa requirements, immunizations, etc.)
Complete and submit expense reports
Maintain department calendars
Maintain strong interpersonal relationships with employees at all levels of the organization
Prepare and review reports, spreadsheets, presentations, and finished documents relevant to executive's assignment
Work effectively using Windows, Word, Excel, PowerPoint, SharePoint and/or other software as required
Develop and maintain effective business contacts with vendors and services
May be required to contribute to projects and activities not included in other principal accountabilities to assist in the accomplishment of business objectives and professional development
Maintain effective communication with customers
Professionally answer and direct incoming calls
Collaborate with other administrators in support of the team as necessary
Background / Experience / Education:
8 to 10 years or more administrative support in a corporate environment, supporting executive level leaders (i.e. Dir, Sr. Dir & VPs)
2 years college or equivalent experience
Advanced Microsoft Office skills including Outlook, Word, Excel, PowerPoint, and SharePoint.
Skype for Business, SAP, ION, Workday and web based (Concur) travel and expense reporting system knowledge a plus.
Outstanding ability to develop and maintain positive and effective interactions and working relationships at all levels, including senior management and global partners, both verbally and in writing.
The flexibility and resiliency to work well under pressure, maintain confidentiality, and quickly adapt to rapidly changing needs and priorities.
Ability to gain full working knowledge of the company's structure, key personnel and organizational policies and procedures.
