Sales and Marketing Coordinator At HUB International

Location: Toronto, Ontario

Job Description

HUB International has a dynamic Sales and Marketing Coordinator role based in our downtown Toronto office reporting to the Marketing Communications Manager to support the Ontario Region. You will have the opportunity to:
Support the duties of the Chief Sales Office (CSO) Team in the Toronto office:

Provide ongoing assistance to colleagues using various sales tools and resources in particular:

Be a "power user" for MS Dynamics CRM (Customer Relationship Management) as customized for HUB (CORE) including troubleshooting, best practices and facilitating training for new sales producers in the use of the system

Create and execute mass email sends in Click Dimensions (CD) on behalf of account teams or Marketing Communications; support account teams who have access to use CD

Be a power user of the HUB Intranet including navigation, capabilities, training, troubleshooting

Assist with organization of and attend monthly sales meetings:

Participate in planning call and take notes

Compile monthly reports/data, as needed

Create slides and identify relevant videos, images, quotations, etc.

Maintain annual calendar for other training/orientation sessions throughout the year

Print handouts

Set up A/V equipment

Participates in event planning/organizing:
Assist with planning and logistics for Ontario sales conferences as well other sales events including ordering marketing supplies etc.

Manage logistics for sales training sessions held in the Toronto office

Research, recommend and implement special projects and/or initiatives such as sales contests as required by the CSO or other members of the CSO Team.

Collaboration with the Strategic Resource Managers on all aspects of sales enablement

Support the CSO Office with the following:
Data management/analysis/presentation

Sales activity reports from CORE for the CSO and Marketing Communications Manager, understand CORE dashboards

Cross sell activity reports including compiling data, tracking trends

Prepare monthly report on sales for Executive Management Team

Coordinate/keep apprised of calendar scheduling and travel itineraries for CSO ensuring he is on top of what is upcoming.

Coordinate internal and external meetings for the CSO including booking locations when needed, conference call logistics (including technical set up and troubleshooting), preparation of agendas, presentations

Manage travel arrangements and expense account submissions for CSO, Toronto Sales Leader and Marketing Communications Manager and ensures timely administration of time off approvals.

Support Marketing Communications Manager with the following:
Handle requests for HUB logos by 3rd parties

Handle requests from colleagues for HUB banners/tradeshow booth

Assist account teams to "polish" new business presentations in Word and PowerPoint ensuring brand alignment

Assist with the creation of marketing collateral using HUB templates

Executing mass email campaigns

Managing sales and marketing metrics, return on investment on campaigns

Follow up on referrals from trade shows, website referrals

Generate and validate prospects list and engage appropriate HUB sales contact

Establish and maintain positive working relationships internally and externally to achieve the goals of the CSO Team and the organization.

Qualifications and Experience:
Post-Secondary Degree/Diploma in Business Administration, Project Management or related field

Minimum 2-3 years' experience working in a corporate environment in an administration/coordination or sales and/or marketing support role dealing with people internally and externally, data analytics, event management, project management etc.

Prior experience supporting a sales team desired

Intellectually curious, driven to learn, resourceful

Advanced Proficiency in MS Office: Word, Excel (pivot tables, V-Lookup, graphs), PowerPoint, Outlook

Technically savvy - ability to quickly learn, use and train on various systems e.g. CRM

Strong interpersonal, verbal and written communication skills

Must excel in a multi-deadline, fast-paced environment; excellent organizational, prioritization skills

Ability to be proactive, anticipatory, and handle confidential material

Ability to work independently and in a collaborative team

Strong attention to detail
