The WW Bid Management team is currently in the process of transforming our existing business model to onboard multiple internal 3DS Group Brands in order to expand our practice to a Shared Service model. The Bid Management Organization is seeking a Bid Operations Specialist to support the AMERICAS Bid Management Team in the transition to a multi-Brand support model for the Shared Services Center-Bid Management (SSC-BM) operations function.
What will your role be?
The mission of the Bid Operations Specialist is to coordinate the operations of the Bid Management Department to enable maximum efficiency in support of the business to produce & qualify auditable contract documents & proposal records:
To enable a controlled delivery of services activities in support of the adoption of 3DS Group software
Following 3DS Group finance and ethics rules
Providing protections for 3DS assets
Presenting a professional front to our Customers
The challenges ahead
Daily operation of tracking tools.
Assignment of Bid Managers to Proposals.
Creation and distribution of Proposal Management activities, deliverables and timelines for individual Proposals.
Organization and tracking of Opportunity Review Boards (ORBs) and related collateral.
Production, distribution and management of ORB meeting minutes.
Quantitative and qualitative analysis of data required for internal reporting.
Creation and distribution of periodic reports pertaining to the operations and health of the department.
Ad hoc report generation as required to support ongoing Bid Management operations.
Management of shared Group mailbox.
Administration of the Bid Management portfolio.
Automation of the Bid Management portfolio.
Help standardize and enable the Shared Services Bid Management model across multiple 3DS Group Brands.
Create internal documentation and communication material for SSC-BM operations activities.
Support the creation and delivery of training materials, as required.
Facilitate engagement with internal Customers and partners impacted by the transition to a multi-Brand support model.
High quality professional day-to-day execution of engagements and special projects.
Your key success factors
Entry-level position in large, multi-national technology company with fast-paced operations.
Experience working in teams and as a central point of contact, following defined procedures.
Ability to operate with general supervision following defined procedures.
Strong analytical skills.
Strong proficiency in Microsoft Excel, Word and PowerPoint with a general understanding of data analysis techniques.
Knowledge of Visual Basic programming (VBA/VBS) is a plus.
Good written and verbal communications.
Ability to provide status on actions, and estimates to completion.
Ability to meet deadlines.
Strong interpersonal skills with a focus on teamwork.
Ability to participate within a multi-disciplinary team as well as acting autonomously as appropriate.
