Job Description

The Temporary Clerk A an important component of the Recreation and Culture workforce and is key to the successful coordination of events and community engagement.

This position requires a satisfactory verification of a candidate’s Criminal Information Request as a condition of employment.

Summary of Duties

Reporting to the Supervisor, Events and Community Engagement, be responsible for providing administrative support for program & services for the Recreation Events and Community Engagement division. Work Performed

This position will assist with the implementation of City of Oshawa events, city supported events and community engagement programs.

Duties include providing event and program information over the phone/email; website postings; take and direct enquiries to the appropriate staff; receive applications, submissions, emails for events and community engagement initiatives; input data into Microsoft office and other database software; photocopying, filing, faxing and emailing; assist in representing the Department in dealing with community groups, agencies, and the general public; Design/update Events bulletin boards; assist with all City events; attend and provide activations at some community events; mailing out information; maintain records of displayers and entertainers; package and deliver materials/advertising; organize crafts (cut outs, supplies administration); file applications/submissions electronically; pack up program supplies at conclusion of program; preserve event inventory/storage; take notes at event meetings; assist with set up and take down of equipment; organizing entries and preparing presentation to for band selection.

Assist with duties associated with Community Engagement Programs: Volunteer program; Community Clean Up; Growing with Pride; Peony Festival; Doors Open; Market Squared; Concerts in the Park; Canada Day, Bright & Merry Market




Job Requirements

Diploma in Recreation and Leisure Studies or equivalent with experience working in the field or recreation.

Be able to commit to the full term of employment beginning March 2020 through November 2020.

Possess excellent customer service, communication skills and interpersonal skills – able to deal courteously with the general public, members of the community and colleagues and maintain positive relationships.

Possess a valid Ontario Driver's License, minimum Class "G", in good standing, and have access to a vehicle for all shifts.

Availability to work shifts and weekends required to accommodate participation in events, meetings or programs (three to five days per week, depending on workload).

Be able to work in variable conditions including indoor and outdoor work.

Be able to establish priorities and meet deadlines

Established skills and experience using PC equipment and related software applications (MS Office Suite).

Strong organization and time-management skills, being able to manage multiple tasks and competing priorities within short timelines. Must be able to work in an open work space with multiple distractions.

Creativity, enthusiasm, initiative and a strong commitment to operating both independently and within a team environment

Possess personal qualities of maturity, tact, discretion and have a willing and co-operative attitude.

Suited to work outdoors in all types of weather conditions. Able to work in difficult situations. Must be physically and mentally fit; able to climb, stretch, twist, lift and carry items of up to 50 lbs.; stand and walk for long periods; circumstantially and temperamentally adjusted to work alone and work split shifts.
