Business Administrator, Clerk III At City Of Edmonton

Business Administrator, Clerk III up to 11 months

Do you have experience and interest in supporting the Festival and Events Unit which works with over 750events annually that occur on City property? Do you like to take initiative, work in a team environment, and develop creative solutions?

If you enjoy being part of events that contribute to the City’s vibrancy and reputation while adding to the City’s quality of life, consider becoming a Business Administrator to support the Civic Events and Festivals Section.

You will be responsible to:
  • Identify and develop solutions to enhance business practices and efficiencies of the unit; including incorporating technology and automation wherever possible
  • Develop, manage and maintain complex Google-based application system for events; maintain and update the external website and work with 311 to update scripts as required
  • Coordinate work processes and customer service inquiries; intake new event requests, maintain event calendars and input information into Intelli (booking system), as required
  • Monitor, coordinate and process centralized event invoices on behalf of all civic services using SAP, the Google environment (sheets, docs, etc) and other applications; process the Civic Services subsidy when appropriate; maintain financial guidelines for civic services using Festival & Event cost centers; release Purchase Orders in SAP and process Cheque Requisitions
  • Develop and maintain business processes such as standardizing templates and forms, updating operations manuals and website information and maintaining cross-departmental civic service updates (costs, updated forms, new practices, etc.)
  • Provide logistical support to Civic Events Implementation Team (CEIT) by maintaining committee membership and contact information, managing meeting logistics (invites, agendas, minutes, etc), updating terms of references and supporting the development of annual reports or other reporting requirements
  • Maintain statistics for the unit using Intelli (booking system), SAP report systems and G Suite to gather event statistics and billings reports; design and execute custom reports and other reporting mechanisms as needed for the unit
  • Support the project development and implementation of a database to manage the flow of event information and civic service requests and approvals
  • Provide logistical support to the unit with on site logistics and administrative tasks; provide on-site event support to the Festival & Events team
  • Provide coverage for other clerical colleagues as required
  • Assist the Supervisor in the coordination, oversight and completion of other initiatives as required within the unit; and perform miscellaneous job-related duties as assigned

Qualifications

:
  • Completion of Grade 12 including business subjects with an emphasis on general office practices, or an approved certificate program from an approved business school/college
  • A minimum of three years progressively responsible and diversified office administration experience, with a strong focus on developing and managing business processes and procedures
  • Demonstrated ability with fundamental financial and accounting principles including billing, reporting, tracking, and performance measures
  • Advanced proficiency with Google applications and SAP is required; experience using a registration and booking software is an asset
  • Demonstrated ability to effectively manage short and long term business needs, and to manage multiple priorities with tight deadlines
  • Strong creative problem solving skills required to develop new business practices that create efficiencies for the unit
  • Strong organizational skills, a high standard of thoroughness, an aptitude for accuracy, and a proactive mind-set
  • Strong attention to detail and information; exceptional analytical and conceptual skills
  • Demonstrated ability to recommend strategies and develop best practices to meet stated goals
  • Excellent communication and interpersonal skills, with ability to work in a team environment and build relationships with internal and external stakeholders
  • Ability to assess situations and execute sound decisions
  • Experience working with festivals and events is an asset
  • Good understanding of the political environment is an asset
  • Hire is dependent upon a Police Information Check satisfactory to the City of Edmonton

Hours of work: 33.75 hours per week, December to April; 40 hours per week, May to November. Some weekend and evening work is required

Salary: $26.928 - $33.765(Hourly)
