Scheduling Receptionist At City of Calgary

As a Scheduling Receptionist, you will provide receptionist and administrative support to the Corporate Security business unit responding to in-person and telephone inquiries from City employees and the public. You will also manage the schedules of the in-house, mobile and contracted security guards ensuring security staffing levels of City sites are maintained. Primary duties include
  • Schedule in-house, mobile and contracted security guards using scheduling software ensuring appropriate staffing levels are maintained. This includes: updating schedule changes, overtime, and exception requests; assigning guards to vacant shifts based on availability; communicating and distributing schedules; and maintaining personnel information in scheduling software
  • Provide reception and administrative support to the Office Administrator and staff in the business unit.
  • Greet and direct visitors and answer Corporate Security’s general phone line.
  • Write letters/memos, input data entry into spreadsheets, print labels, process mail, and perform photocopy and scanning duties.
  • Schedule meetings, book boardrooms, and order refreshments.
  • Order office supplies and maintain office equipment.
  • Provide back-up coverage for the Dispatch/Administrator for Technical Operations and Physical Security including monitoring emails, creating service requests, processing financial recoveries and accounts payable.
Qualifications
  • A completed 1 year certificate or diploma in Business Administration, Administrative Professional or Office Professional.
  • A minimum of 3 years of reception experience.
  • Previous experience scheduling shifts is required.
  • Intermediate proficiency with Microsoft Office (Outlook, Excel and Word).
  • Experience with PeopleSoft Human Capital Management (HCM) and shift scheduling software (for example: Tracktik) is considered to be an asset.
  • Strong communication and organizational skills along with a strong ability to multi-task.

  • A security clearance will be conducted.
  • Successful applicants must provide proof of qualifications.

Compensation: Pay Grade 5 $27.57 - 36.85 per hour (2017 Rates)
Days of Work: This position works a 5 day
work week with one day off in a 3 week cycle.
Hours of work: Standard 35 hour work week
