Operations Administrator At City of Calgary

Reporting to the Workforce Support Supervisor, the Operations Administrator is a key contact for field operations staff (customers) in the Field Operations Divisions, providing professional administrative support and a strong commitment to customer service. This position provides customer service, financial administration, workforce management and general administrative support to a very diverse group and ensures the needs of the department are addressed appropriately in a timely manner. Primary duties include, but are not limited to:
  • Provide customer service by researching and responding to a variety of questions from staff, create documents and communications for internal and external stakeholders, schedule meetings as well as attend to take minutes and distribute materials, maintain databases and calendars, initiate remedy tickets, and order supplies.
  • Provide financial support by setting up Purchase Orders (PO), reviewing and reconciling associated invoices, and tracking year-end accruals.
  • Reconcile accounts, ensure charges are correct and billed to the right area, investigate any discrepancies, and manage rechargeable billing requests.
  • Work with field staff, estimators, and the Law Dept to claim back funds on damage done to Water Utility assets.
  • Provide workforce management support by acting as the subject matter expert for payroll and pay related questions including the calculation of overtime and callout listing for approximately 550 staff members.
  • Provide general administrative support for data entry, filing and compliance monitoring, mail and courier support as well as event planning.

Qualifications
  • A High school diploma or equivalency (GED) combined with job related course work.
  • At least 5 years of work related experience.
  • You have strong customer service skills, demonstrate the ability to work well independently and as a part of a team, and are able to quickly adapt to changes in work volume and pace.

Compensation: Pay Grade 6 $29.35 - 39.24 per hour (2017 Rates)
Days of Work: This position works a 5 day
work week with one day off in a 3 week cycle.
Hours of work: Standard 35 hour work week
