Association Administrator At Building Owners and Managers Association Greater Los Angeles

Location: Los Angeles, California

Job Description

SUMMARY: Under general direction, the Association Administrator is responsible for performing administrative tasks associated with the implementation of customer service, marketing and administrative services.
ESSENTIAL FUNCTIONS:

o Prepare and process checks.
o Prepare and process payroll as directed.
o Deposit funds, revenues and fees.
o Prepare and process bills and invoices for payment and insure that all accounts
payable are cleared within a reasonable time.
o Manage accounts receivable and insure that all accounts are cleared within a
reasonable time.

o Preparation and mailing of annual dues invoices and follow-up mailings and correspondence.
o Regularly check and update all pertinent member information in the database as received.
Oversee the registration process for all association events:

o Auditing final registration lists and prepare event badges.
o Manage onsite registration process for all association events.

o Collect content and post to the web site: research and embed links and other
documents to the site as approved by the Director.
o Support members in attempting to access and use the site.
o Assist in proofing content and routing materials to all related departments' project
leaders regarding changes to product copy.
o Coordinate day-to-day marketing administrative activities that lead to the completion of projects as assigned.

SKILLS AND EXPERIENCE: Must have at least three years of administrative experience with project management responsibilities. Must be able to work independently from time to time and must have the ability to "think on your feet" and exercise discretion and independent judgement. Must be familiar with accounting, bookkeeping, and management information systems. Experience in associations or nonprofit environments is preferred. Must have a good working knowledge of Microsoft Office products. Experience in web site maintenance, social media, and project management systems a plus. Ideal candidate is well organized, able to multi-task, has excellent communications skills, likes to have fun, and is available to work occasional early mornings and late evenings. Bachelor's degree preferred; minimum of an associate's degree required.
