Marketing Administrative Coordinator - Full Time At Arlington International Race Course LLC

Location: Arlington Heights, Illinois

Job Description

Primary Duties and Responsibilities:

  • Assist Director of Marketing with departmental organization and functionality
  • Actively participate and assist in execution of marketing and promotional events on and off-site
  • Responsible for data entry and general upkeep and segmentation of customer information
  • Develop and maintain a digital photo library for easy use in advertising
  • Assist in race day execution of events including but not limited to equipment set up, performance scheduling, load in/out (escorting performers/groups, organize day-of on track activities between races
  • Manage purchasing and detailed inventory of promotional materials and supplies used in marketing efforts
  • Complete purchase orders and process invoices for all paid content and entertainment
  • Responsible for data entry and general upkeep and segmentation of customer information
  • Assist Marketing Department with administrative needs
  • Complete necessary paperwork accurately and in a timely manner to ensure an efficient and steady flow of information to other departments and external partners
  • Serve as the point of contact for multiple accounts, answering phones and emails
  • Organize and prepare reporting data to ensure all records are kept in compliance
  • File paperwork with Purchasing Manager & Director of Marketing
  • Implement and monitor programs as directed by management, and see the programs through to completion
  • Generate memos, emails and reports when appropriate
  • Answer incoming calls and assume other receptionist duties when needed
  • Manage online form platform
  • Attend events as part of Street Team in Fall/Winter/Spring
  • Other duties as assigned

Education, Training and Experience:

  • College degree required with emphasis in Marketing, Sports Management, Public Relations, Communications or equivalent
  • 1-2 years prior experience in event marketing, digital marketing, communications, social media marketing
  • Experience managing multiple projects and working within aggressive deadlines
  • General accounting experience; able to handle cash and credit card transactions, follow a budget and balance a bank account
  • Proficient computer skills including knowledge of Microsoft applications and ability to quickly learn required ticketing software
  • Excellent verbal and written communication skills
  • Ability to work well under pressure

Experience

Required
  • 1 - 2 years: Prior experience in event marketing, digital marketing, communications, and social media marketing

Education

Required
  • Bachelors or better in Communication or related field
  • Bachelors or better in Public Relations or related field
  • Bachelors or better in Sport Management or related field
  • Bachelors or better in Marketing or related field
