Procurement Administrator (FixedTerm) At AIMCo Canada

Location: Edmonton, Alberta

Job Description

Reporting to the Senior Manager, Procurement, and working along side a team of dedicated Procurement business partners, the role of the Procurement Administrator is to:

  • Allocate emails from the Procurement inbox to the appropriate Business Partner, identifying urgent and priority messages
  • Maintain and update the contract database with new contract and amendment details
  • Review invoices against contract details and forward for Contract Manager and Expenditure Officer approval
  • Work with Procurement business partners, accounting, contract managers and vendors to resolve invoice issues
  • File contract paperwork appropriately
  • Maintain and monitor the Consultant Master Listing spreadsheet
  • Prepare and recommend contract monthly accruals on a recurring basis
  • Initiate and run monthly reports
  • Maintain and update a vendor contact database
  • Maintain and update third party software user access listings
  • Maintain listings and administer access to AIMCo’s Bloomberg terminals
  • Coordinate vendor meetings and debriefs
  • Assist business partners with vendor communications
  • Maintain a good understanding of Procurement and Vendor Management functions at AIMCo
  • Participate in team discussions, brainstorming and implementation of solutions
  • Other administrative duties as required
Our Ideal Candidate
  • Has a basic understanding of Procurement and Vendor Management functions
  • Has analytical skills with a keen attention to detail and accuracy
  • Possesses a moderate to advanced level experience with the Microsoft Office suite (e.g. Excel, Word, Outlook)
  • Has experience building business relationships and providing customer service
  • Has superior organization and time management skills with a demonstrated ability to meet deadlines
  • Has an aptitude and willingness to learn new technologies and systems
  • Constantly demonstrates initiative, flexibility and critical thinking skills
